Box Truck Fuel and Tax Basics: IFTA, 2290, CDL and Deductions

Many box trucks are built with a gross vehicle weight rating of 26,000 lb or less. That one number keeps a lot of the heavy-truck paperwork off your plate — but not all of it. Here is what applies by weight, and how fuel and truck costs show up at tax time.

Fuel tax: IFTA or the pump‌‌‌‍‌‌‌‌‍‌‌‌‌‍‍‌‍‌‍‌‍‌‌‍‌‍‍‌‌‌‌‌‌‍‌‌‌‌‌‌‍‍‍‍‌‌‌‌

‌‌‍‌‌‌‌‌‍‌‌‌‌‍‍‌‍‌‍‌‍‌‌‍‌‍‍‌‌‌‌‌‌‍‌‌‌‌‌‌‍‍‍‍‍‌‌‍Every gallon of diesel or gas you buy already includes state and federal fuel tax. IFTA only matters when your truck is a qualified motor vehicle and runs in more than one member state or province. A qualified motor vehicle has two axles and is over 26,000 lb (actual or registered), or has three or more axles, or is used in a combination over 26,000 lb.

A two-axle box truck at 26,000 lb or less doesn't qualify — the tax you paid at the pump is the end of it. A 26,001 lb+ truck, a three-axle truck, or a box truck pulling a trailer can cross the line; then you file quarterly IFTA returns with miles and gallons by state. The IFTA filing guide walks through it.

Pro Tip

Before you run a new state, check whether it has its own weight-distance or highway use tax. A few states (for example Kentucky, New Mexico, New York and Oregon) do, and their weight lines are not the same as IFTA's.

CDL, USDOT number and medical card‌‌‌‍‍‍‌‌‍‍‌‌‍‌‍‌‌‍‌‍‍‍‌‌‍‍‍‌‌‌‌‌‌‍‌‌‌‌‌‌‍‍‍‍‍‍‍‍

‌‌‍‌‍‍‌‌‍‍‌‌‍‌‍‌‌‍‌‍‍‍‌‌‍‍‍‌‌‌‌‌‌‍‌‌‌‌‌‌‍‍‍‍‌‌‍‌The CDL line is 26,001 lb GVWR for a single truck (Class B). Many box trucks are rated at 26,000 lb or less so they can be driven without a CDL. Check the door sticker — the box length doesn't decide it.

The USDOT and medical-card line is much lower: 10,001 lb in interstate commerce. A non-CDL box truck crossing state lines for business usually needs both. Hours-of-service rules apply too, with a short-haul exception that many local route drivers use.

Form 2290‌‌‌‍‍‍‌‌‌‍‍‌‍‍‌‌‍‌‍‍‌‌‌‌‍‍‌‌‌‌‌‌‌‍‌‌‌‌‌‌‍‍‍‍‌‍‍‌

‌‌‍‌‍‍‌‌‌‍‍‌‍‍‌‌‍‌‍‍‌‌‌‌‍‍‌‌‌‌‌‌‌‍‌‌‌‌‌‌‍‍‍‍‌‌‍‍The heavy highway vehicle use tax starts at a taxable gross weight of 55,000 lb — the empty truck plus the heaviest load it usually carries. A box truck rated at 26,000 lb doesn't come close, so there is no 2290 to file. Details for heavier trucks are in the Form 2290 guide.

Deducting fuel and truck costs‌‌‌‍‍‍‌‍‍‍‍‌‍‍‍‍‌‌‍‍‍‍‌‍‍‌‍‌‌‌‌‌‌‍‌‌‌‌‌‌‍‍‍‍‌‍‌‍

  • Fuel and DEF: every receipt, as a business vehicle expense.
  • Repairs, tires, oil, washes: as they happen.
  • Insurance, plates, permits: in the year paid (or as your tax pro allocates them).
  • The truck: usually depreciation or a Section 179 election, not one lump expense.
  • Meals on overnight runs: per diem — not on same-day local routes. See the box truck back office guide.

‌‌‍‌‍‍‌‍‍‍‍‌‍‍‍‍‌‌‍‍‍‍‌‍‍‌‍‌‌‌‌‌‌‍‌‌‌‌‌‌‍‍‍‍‍‍‌‌The IRS standard mileage rate is written for cars, vans, pickups and panel trucks, so box truck owners usually deduct actual costs. The full list is in every expense you can deduct.

Frequently Asked Questions‌‌‌‍‍‍‌‍‌‌‍‌‍‌‍‌‍‍‌‌‍‌‌‌‍‌‌‍‌‌‌‌‌‍‌‌‌‌‌‌‍‍‍‍‍‌‍‍

Does a 26,000 lb box truck need IFTA?

Usually not. IFTA applies to a power unit with two axles over 26,000 lb, a power unit with three or more axles, or a combination over 26,000 lb. A two-axle box truck rated and registered at 26,000 lb or less, not pulling a trailer, is under that line. Fuel tax is then paid at the pump. Confirm with your base state, especially if you pull a trailer.

Do I need a CDL to drive a 26-foot box truck?

Not if the truck is rated 26,000 lb GVWR or less (and you aren't hauling placarded hazmat or towing a heavy trailer). A Class B CDL is required for a single vehicle rated 26,001 lb or more. Check the GVWR on the door sticker, not the box length.

Does a box truck need a USDOT number?

If it is rated or weighs 10,001 lb or more and is used in interstate commerce, yes — and the driver needs a DOT medical card. Most box trucks used for business are over that line. Some states require a USDOT number for intrastate trucks too.

Does a box truck need to file Form 2290?

Only at a taxable gross weight of 55,000 lb or more — the empty truck plus the heaviest load it usually carries. A box truck rated at 26,000 lb is well under that, so Form 2290 does not apply.

How is fuel deducted for a box truck?

Fuel is a business vehicle expense on Schedule C, together with repairs, tires, insurance and the rest of your actual costs; the truck itself is usually recovered through depreciation or a Section 179 election. Keep every fuel receipt. Your tax professional can confirm the method for your truck.
