Fair use policy
How many document scans each plan includes, the overage rate, and the soft limits we use to protect the service from automated abuse. Updated November 2026.
Document scanning
Every paid plan includes a monthly budget of AI document scans. To keep prices flat for everyone — and to protect the service from automated bulk imports or runaway integrations — we set soft monthly limits calibrated above what a typical fleet your size consumes:

Your scan budget resets at the start of every calendar month. Additional trucks on Fleet do not add doc capacity — overage is the path for high-volume fleets.
How the in-app warning works
- At 80% of your monthly budget you’ll see a passive banner — dismissable, just informational.
- At 95% you’ll see a popup the next time you upload, showing exactly how many scans are left and the overage rate.
- At 100% you’ll be asked to explicitly acknowledge the overage rate before any further scans bill. The exact text you click through is logged so there’s a record.
- You can pause or revoke overage at any time in Settings → Billing. No further scans will bill until you opt back in.
Bulk historical import
Historical documents you upload when you first sign up count toward the monthly budget like any other scan. If a big back-catalog would push you past it, the same warning and opt-in above apply before any overage bills.
Other limits
- Loads, invoices, fuel transactions, expenses: no set cap on any plan (subject to the fair-use terms on this page).
- Email broker outreach: Pro and Fleet only.
- Trucks & logins: 1 truck on Starter and Pro. Fleet includes 3 trucks; each truck after that is $99/mo ($990/yr on yearly billing), self-serve up to 10. Team logins are free on Fleet. Team drivers (two drivers sharing one truck) may share one login on any plan. Trailers don’t count as trucks.

If you’re consistently above your plan’s included scans, reach out at support@overtheroad.ai and we’ll help you pick the right plan or truck count. We’d rather you save money than feed the overage line item.
