Fair use policy

What “unlimited” means on each plan, and the soft limits we use to protect the service from automated abuse. Updated May 2026.

Document scanning

We include generous AI document scanning on every paid plan so normal use is truly unlimited. To keep prices flat for everyone — and to protect the service from automated bulk imports or runaway integrations — we set soft monthly limits calibrated above what a typical fleet your size consumes:

Your scan budget resets at the start of every calendar month. Additional team seats on Business do not add doc capacity — overage is the path for high-volume fleets.

How the in-app warning works

  • At 80% of your monthly budget you’ll see a passive banner — dismissable, just informational.
  • At 95% you’ll see a popup the next time you upload, showing exactly how many scans are left and the overage rate.
  • At 100% you’ll be asked to explicitly acknowledge the overage rate before any further scans bill. The exact text you click through is logged so you always have a record.
  • You can pause or revoke overage at any time in Settings → Billing. No further scans will bill until you opt back in.

Bulk historical import

New accounts (less than 30 days old) can do an initial bulk import of up to a few months of historical documents without it counting toward the monthly cap. We want you off your spreadsheets, not stuck on day one.

Other limits

  • Loads, invoices, fuel transactions, expenses: unlimited on every plan.
  • Bank sync (Plaid): Pro and Business only.
  • Email broker outreach: Pro and Business only.
  • ELD + fuel-card integrations: 1 each on Starter; unlimited on Pro and Business.
  • Team seats: 1 on Starter and Pro; 5 included on Business + $99/mo per additional seat.

If you’re consistently above your plan’s included scans, reach out at support@overtheroad.ai and we’ll help you pick the right plan or seat count. We’d rather you save money than feed the overage line item.
