Refund Policy

1. Free Trial (Starter and Pro)
Starter and Pro plans include a 30-day free trial. You provide a payment method when you subscribe through Stripe Checkout, but no charge is made until the trial ends. You can cancel anytime during the trial from your Settings page — the card on file will not be charged. If you do not cancel, billing starts automatically on day 31.
2. 30-Day Money-Back Guarantee (Business)
Business plans do not include a Stripe free trial. Instead, if you decide the Service is not right for you within 30 days of your first payment, contact us at support@overtheroad.ai for a full refund of that first invoice. This applies to the first billing cycle only.
3. Subscription Billing
- Subscriptions are billed in advance on a monthly or annual basis through Stripe.
- Your billing cycle begins on the date you subscribe (or the date your trial ends, for Starter/Pro) and renews automatically on the same date each period.
- Document scan overage charges ($0.30 per scan past your plan's included monthly budget, applicable to Pro and Business only) are added to your next invoice. Overage is billed only after you have acknowledged the rate in-app, and the acknowledgment wording, timestamp, IP address, and user agent are retained for dispute support.
- You may cancel your subscription at any time from your Settings page. Cancellation takes effect at the end of the current billing period — you retain access until then.
4. Other Refund Eligibility
- Duplicate or erroneous charges: If you are charged twice for the same billing period or charged after a confirmed cancellation, contact us and we will issue a full refund for the erroneous charge.
- Material service failure: If the Service experiences a sustained outage of 72 hours or more during your billing period and we are unable to restore access, you may request a pro-rated refund for the affected period.
- Annual plan early cancellation: Annual subscriptions are non-refundable after the applicable trial or guarantee window. If you cancel an annual plan mid-term, you retain access for the remainder of the paid year but no partial refund is issued.
5. Non-Refundable Situations
Refunds are not provided for:
- Partial billing periods after cancellation.
- Downgrading from a higher-tier plan to a lower-tier plan mid-cycle.
- Failure to cancel before an automatic renewal.
- Dissatisfaction with AI-generated outputs, IFTA calculations, or other data-dependent features — these are tools that require your review and verification.
- Account suspension or termination due to a violation of our Terms & Conditions or Acceptable Use Policy.
6. How to Request a Refund
Email support@overtheroad.ai with the subject line "Refund Request" and include your account email address and the reason for the request. We will respond within 3 business days.
7. Chargebacks
If you believe a charge is unauthorized, please contact us before filing a chargeback with your bank. We can resolve most billing issues faster than the chargeback process. Filing a chargeback without first contacting us may result in account suspension pending resolution.
8. Gifted Partner Plans
Complimentary subscription access ("Gifted Plans") granted to Partners as part of the Partner Program are provided at no cost and therefore are not eligible for refunds, credits, or cash-value redemption. Gifted Plans:
- Have no monetary value and are non-transferable
- May be time-limited or lifetime at OverTheRoad.ai's discretion
- May be revoked upon Partner termination or violation of the Terms of Service
- When expired or revoked, result in the account reverting to read-only mode — no data is deleted
- Do not entitle the Partner to a refund, pro-rated credit, or any other compensation
9. Referral Bonus Refund Impact
If a referred user receives a refund on their first subscription payment (the payment that triggered the one-time referral bonus), the corresponding Partner bonus is automatically voided. If the bonus has already been paid out, OverTheRoad.ai reserves the right to deduct the amount from the Partner's future payouts or request repayment.
10. Changes to This Policy
We may update this Refund Policy at any time. Material changes will be communicated via email. The policy in effect at the time of your payment applies to that transaction.
